Who this covers

Jack Willmott AI provides an automated phone receptionist to businesses. When you call a business that uses our service, your call is answered by our system on that business’s behalf.

This policy explains what we collect, why, and what happens to it. It covers the businesses we work for, the people who call them, and anyone who tries the demo on this website.

If you called a business and reached our system

You are told at the start of every call that it is recorded. That is not optional and we do not switch it off.

What we collect: your phone number, a recording and written transcript of the call, and whatever you tell the system, which is usually your name, what you are calling about, and any address or appointment details you give.

Why: so the business you rang gets your message accurately, can call you back, and can book you in. That is the entire purpose. We do not use it for anything else.

Who gets it: the business you called. We act on their behalf and the information is theirs.

We do not sell it, and we do not use it to market anything to you.

If you would rather not be recorded, hang up and contact the business another way, or ask to be put through to a person.

If you tried the demo on our website

The demo on our home page is us talking to you about our own business. Nobody else is involved and no client sees any part of it.

You are told at the start that it is a demo and that it is recorded. You are also told you are speaking to an AI, because you are.

What we collect: a written transcript of the conversation, and anything you choose to tell it, which might be your name, your business, or a number to call you back on. It is not a phone call, so we do not get your number automatically. We only ever have what you say out loud.

Why: two reasons, and the second one is the honest part. So we can ring you back if you asked us to, and so we can see which questions keep coming up and answer them properly on this website instead of making the next person ask out loud.

How long: the recording is deleted the same as any other call. We keep the written transcript, because the questions in it are the whole point of having a demo. Before anything goes into what we analyse, phone numbers and email addresses are stripped out of it.

We do not sell it and we do not add you to a mailing list. If you gave us your details and would rather we did not keep them, email us and we will delete them.

If you are a client business

We hold your business details, contact details, billing information, and the configuration of your receptionist, along with the call data described above.

Payment card details are handled entirely by Stripe. We never see or store your card number.

Where the information goes

Running the service means the call passes through third party providers, some of which are outside Australia:

Each holds the information only to provide their part of the service, under their own terms and privacy obligations.

How long we keep it

Demo conversations on this website are kept as a written transcript, with no expiry date, so we can learn what people want to know about us. The recording of a demo is deleted like any other.

We keep transcripts rather than audio recordings wherever possible, because a transcript does what we need and is far less sensitive to hold.

While a business is a client, we keep their call data for as long as they need it to run their business.

When a business stops using the service, we keep their call data for 90 days and then permanently delete it. The 90 days exists so they can come back without losing anything. They can ask us to delete it immediately instead, and we will.

Billing records are kept as long as tax and business record keeping law requires.

Getting your information, or having it deleted

Anyone can ask us for a copy of what we hold about them, or ask us to delete it. Email admin@jackwillmottai.com and we will respond within a reasonable time and at no charge.

If you called a business and want your call details removed, tell us which business and roughly when you called and we will find it.

Client businesses can request a full export of their call data at any time, and always get one on request when they leave.

Keeping it safe

Access is limited to those who need it to run the service. The platforms we use hold the data under their own security arrangements. No system is completely secure, and we do not claim otherwise, but we take reasonable steps to protect what we hold.

If you are not satisfied with how we handle it, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes

If we change how the service handles information, we update this policy and change the date at the top.
